Ah I see. As with most things there are as many ways of documenting your content as there are collectors of freebies. So I am going to give you a step by step of my way, realizing that someone can come along and have a more simple easier way that you would like better.
So first I need to tell you a little about what I use. I have access to the full Microsoft Office suite. That means I have the spreadsheet excel and the database Access. These are the tools I use.
Every time I download a freebie or a paid for product I open up the spreadsheet and put the following information in it:
Zip name
Zip url
The name of the freebie I just downloaded
The name of the artist that created the freebie
What product is required to use the freebie successfully, example, a freebie texture for the Morphing Fantasy Dress, I list the MFD or a dress for V4, I list V4
I also categorize the item, is it a hat, a dress, a car.
After about a hundred downloads I install the content. I then load the spreadsheet info into my database. I use my database to search for items and create the lists for a contest entry, I use the database because I have over 10,000 files to keep track of and though I have the content loaded into DAZ Studio all my zips are residing on DVDs or CDs So if I need to find the zip I can.
So there you have my take. Maybe others will chime in with their process. I would say as a minimum you need the zip file name and the link. You will find though that some of your freebies are offered for only a short time or there is no readme in the zip to help you know what the freebie is about so gathering the other information becomes more important as time goes by.
I think the key to any method, you come up with, is making yourself gather the necessary information at the time you get the freebie and not let yourself say you can get it later. When I first started out collecting I did just that and that was a mistake. I had about 8000 files at the time I had that Ah ha moment and half of them did not have this information. So for the past year I have been going and finding at least some of the information. It is so hard sometimes to go back and try and find them and there are so many reasons for why you need that link. So take the time up front so that you don't spend hours hunting.
Another key point is your method should use a searchable tool such as a spreadsheet (You can get access to a free spread sheet using a google account) or a full fledged database, like what is in DAZ Studio. I have attached two images. One is of the spreadsheet I am using and the other is of the database and what content information looks like in there.
So there is your tutorial on content information. As for your other request. I suggest you do your hunting here in the forums. There is lots of good info.

I am guilty of not keeping track of that information at all, and also have to go hunting for it the hard way. If I don't remember where I got it offhand, I'll check the readme file if it has one as sometimes the site is listed there and double-check it's still around, otherwise I'll google for it or check the likely suspects (I seem to have obtained most of my free stuff from Renderosity or ShareCG, so I'll do a quick search on those two sites.)
However, one can also view the challenge as a way to get new content. If you can't easily locate links for what you have, you can go searching for new things to use. I think that kind of adds to the fun of the contest.
Thank you for your answer, i have been collecting freebies for more then year but i didn't have a good way of documenting them, and till now i haven't saved links or any other info. I hope i will change that in the future because i might need it.

Your welcome gulan7. Yes I find that to honor some of the requests made by the artists of the freebies I needed to give them credit. So even if I don't have to list the link I still need to give them a nod for helping me in creating an image. The database helps me do that. I see a lot of artists using free stuff and not a word is mentioned in their write-up giving thanks to the freebie community gifts.

Hey thanks for the compliment. I would say I was a fair organizer. You should see my craft room lol. I think Rob has a nice system of keeping track of links too. He keeps up all those freebie link threads. They are my go to place when I want to find something very specific. I really appreciate his work and he is a wizard when it comes to getting the Wayback Machine to cough up that elusive freebie we all think is so cool but has been lost in the passing of time. And that is another reason to keep up the documentation. Having the original link can help you find something that is no longer available because the link is no longer live. But I know it is very hard. That is why my spreadsheet is open all of the time so I can't make the excuse of well I will do it later kind of thing. I do slip every now and then though.

All fun aside. Thank you very much for the link to the Sci-fi bundle, lesson combo. I bought the Inside the Asylum Bundle too because for 2 bucks G2M can have some nice cloths and I get another lesson.
So I did some digging. I don't go to the other threads much but I guess this is in preparation for the Interactive Lessons which require DAZ Studio 4.6.2+ to work. There are more bundles so if you go to Tutorials you can find them there.

...the Sci Fi Cylinder is by Stefan Morrell (AKA Stonemason). However apparently the site has undergone some changes since February and either there is no longer a Downloads page, or it hasn't been set up yet.

I think it's flash-based, so there's no link to the download section, but the few I just tried downloading still work. This is also how I've been able to get Aery Soul's old stuff.
